This policy explains how Casa Keibi S.L (“Keibi”, “we”, “us”) handles personal information when you use keibi.es: when you contact us, book a call, join our freelancer database or simply browse the site. Last updated: 3 October 2026.

What we collect and why
When you contact us
If you use the contact form or the “Let’s talk” form, we collect your name, email address, budget (optional) and your message. We use them to reply to you and to discuss your enquiry.
When you book a call
If you book a call through the booking calendar, we collect your name, email address, company name, budget (optional) and the information you give us about your project, together with the date, time and time zone of the call and the language of the page you booked from. We use this to schedule and hold the call, to send you your confirmation, reminder and any change or cancellation emails, to prepare for our conversation and to follow up on your enquiry. Your booking is stored in the booking system on this website, and our team receives a notification email with your details and a calendar invitation.
When you join our freelancer database
If you complete the freelancer form, we collect the details you enter, such as your name, job role, whether you are registered as self-employed, location, day rate, phone number, email address, portfolio link, any portfolio password and social media links. We keep them so we can contact you when a suitable project comes up. If you tick the box that allows it, we may share your details with our clients who are looking for creative freelancers. You can ask us to remove your information at any time.
When you visit the website
With your consent, we use Google Analytics to understand how the site is used (for example pages visited, type of device and approximate location). You choose which cookies to accept in the cookie banner and can change your mind at any time. See our Cookie Policy for details.
Our legal basis
- Contact enquiries and bookings: taking steps at your request before a contract is made, and our legitimate interest in answering business enquiries.
- Freelancer database and sharing your details with our clients: your consent, which you can withdraw at any time.
- Analytics cookies: your consent.
Who we share it with
We do not sell your personal data. We share it only with the providers that help us run this website and our business, who act on our instructions: our website hosting provider; our email and calendar tools, including Google services such as Google Calendar and Google Sheets; the booking system installed on this website; the spam-protection service on our forms (Cloudflare Turnstile); and Google Analytics, if you accept analytics cookies. If you tick the box on the freelancer form, we may also share your details with our clients. We may disclose information where the law requires it.
Transfers outside the European Economic Area
Some of these providers, for example Google, may process data outside the European Economic Area. Where they do, we rely on safeguards such as the EU–US Data Privacy Framework or standard contractual clauses.
How long we keep it
- Enquiries and bookings: for as long as we need to deal with your request and our working relationship, and then for up to 24 months after our last contact, unless the law requires us to keep them longer.
- Freelancer database: until you ask us to remove your information. We review the database from time to time and remove entries that are out of date.
- Analytics: Google Analytics keeps event data for 2 months and user-level data for 14 months.
Your rights
You can ask us for access to your personal data and to correct it, delete it, restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent you can withdraw it at any time, without affecting what we did before. Write to gdpr@keibi.es and we will reply within one month. If you are not happy with our answer, you can complain to the Spanish Data Protection Agency (AEPD) at www.aepd.es.
Security
We take reasonable technical and organisational steps to protect your information, and only people at Keibi who need it for the purposes above can see it.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
