About Us

Why work with a small agency over a larger one?

At Keibi, we're a small agency working with a trusted network of freelancers, so we don't carry the overhead of monthly salaries or a large office, meaning those savings go straight into our rates.

Do you work with businesses outside of Barcelona or Spain?

We're based in Spain, but we specialise in international digital marketing and content, so we work with clients across the globe. Beyond pre- and post-production, we also adapt, localise, and extend existing content to help you reach new markets. And if you specifically want to film in Spain, or take advantage of Spain's competitive freelance day rates, we'd love to hear about your project.

Is there a minimum project size or budget you work with?

We don't set a minimum project size or budget: it depends entirely on what you need. What we do promise is honesty about what your project will cost, and if it doesn't match your budget, we'll work with you to adapt the concept so you get the most from what you have.

Who will I actually be working with, and does that change throughout the project?

You'll work directly with Richard and Mariela, the company's owners, who stay hands-on with your project from start to finish. We only bring in freelancers when a project genuinely needs it, for example specialist work like high-end 3D animation, or extra hands to hit a tight deadline on a larger job. The same people stay on your project throughout, which cuts down on handover time and keeps things efficient.

What We Do

What types of video production do you offer?

Everything from marketing and adverts to brand films, social media edits, podcasts, tutorials, and corporate video. We handle the full production process: pre-production, casting, location scouting, filming, and post-production. We can also edit existing footage or adapt and localise content you already have.

Do you handle filming and post-production, or just one of the two?

Whatever the project needs: full production and filming, or just post-production on footage you already have. Get in touch and we'll figure out how we can help.

Can you manage ongoing social media content, not just one-off campaigns?

Both. This is exactly where the retainer-versus-project-fee choice comes in: if you're thinking long-term, it's worth discussing a monthly retainer to see if it works out better for your budget.

Do you offer branding and identity work without a video component?

Yes. Our brand managers and social media specialists can help regardless of video needs. Our network also includes content creators, if you're after UGC-style content that taps into an influencer's audience.

Can you help find filming locations and cast talent for a shoot?

Of course. Finding the right locations, cast, crew, and catering is Mariela's speciality. She negotiates hard to get you the best possible prices and make the most of your budget.

Do you plan and run live events, or only film them?

Yes. Keibi is licensed to organise and run live events, as well as film them. Get in touch if you need help with either, or both.

Can you work from an existing brand guideline, or do you also create one?

Both. If you already have brand assets and guidelines, we'll create content that fits within them. If you're rebranding, or a new business looking to stand out from competitors, we can help build that identity from scratch too.

Getting Started

How do I get started on a project with you?

The easiest way to start a project with Keibi is to reach out through the contact form on our website (found on the Contact page or in the footer of every page) or by emailing collab@keibi.es with details of your project, budget, and anything else relevant. We'll follow up with next steps, usually a few emails and a short call to fill in any gaps before kicking off.

What do you need from me before kicking off?

It depends on the project, but at minimum: an overview of the project, your timeline, available budget, any other expectations, and any existing assets you have: logos, brand guidelines, or handbooks.

Do you offer an initial consultation call, and is it free?

Yes. Everything is free and non-binding until we've agreed on scope and pricing. You're welcome to a chat or video call to discuss your project with no obligation to continue if we're not the right fit.

How far in advance should I book you for a shoot or event?

As early as possible, especially for larger shoots or events, so we can guarantee the right venue, studio, or location is available. Plenty can be pulled together on short notice, but the best locations tend to book up early.

Process & Timelines

How long does a project usually take, from concept to final delivery?

It varies hugely by project, for example, a set of social media videos might take a couple of days, a longer-form brand edit around a week, and a full production could take 2–4 weeks.

How many rounds of revisions are included?

Every quote includes two rounds of revisions.

What is the difference between a 'revision' and a 'change' when speaking about feedback?

It's important to distinguish a revision from a scope change: changing copy colour to match your brand palette, or asking to swap one image for another, are revisions. Adding a section you forgot to brief in, or deciding afterwards that a YouTube video also needs a vertical cut for social, is a scope change, and we'd need to adjust the budget accordingly. We'll always confirm costs with you before doing any extra work, so there are no surprises on the final invoice.

Can you slot into our existing marketing team, or do you run projects independently?

Both. We're equally comfortable running a project independently or working alongside your existing team. However you prefer to collaborate, we adapt to make it as frictionless as possible.

Prices

What is the difference between a retainer and a per-project fee?

Think of it like a subscription versus a one-off purchase.

A per-project fee is a flat, one-time price for a defined piece of work with a clear start and end, for example, organising an event or producing a promotional video. The contract wraps up once it's delivered and signed off. Ideal for a specific, well-defined task.

A retainer is a recurring monthly arrangement where you reserve a set amount of our time each month, for example ongoing social media management, continuous content production, or regular creative advisory, giving you guaranteed availability and a predictable workflow.

In short: project fees suit one-off tasks; retainers suit ongoing partnerships.

What's typically included in a retainer agreement?

Each retainer is tailored to the client, but typically includes the agreed scope of work or volume of content per month, a fixed monthly fee covering that work, and provisions for variable costs that can fluctuate month to month (for example, paid ad spend behind a video one month but not the next). Standard terms are also agreed upfront, including the minimum commitment period, the notice period to pause or cancel the service, and whether unused hours or undelivered work carry over into the next month.

How is pricing worked out, and do you offer fixed quotes or hourly billing?

At Keibi, project pricing is based on the actual hands-on work required, typically calculated from the day rates of everyone involved. We don't inflate our prices; the quote is kept fair for everyone involved.

We offer both billing structures: fixed quotes and hourly/daily billing. With a fixed quote, if the scope changes from the originally agreed idea, we'll update the invoice accordingly, but always after discussing it with you first, so there are no surprises.

What happens if the project scope changes, or costs come up beyond the initial quote?

Rarely, but not never. The quote we give at the start holds as the final invoice as long as the brief and scope don't change. If the scope does change partway through, whether larger or smaller, we'll always discuss the impact on price with you first, then adjust the invoice accordingly. No surprises, and full transparency throughout.

Do you require a deposit before starting work?

We always ask for a deposit before starting work (typically 25–50%, depending on the project, location, and vendor needs), to cover cast, crew, and vendor costs before filming, with the remaining balance due on delivery.

How does invoicing and VAT work, depending on where my company is based?

If your company's bank account is located outside Spain, we invoice you without VAT. This is a real benefit for international clients looking to make the most of their budget. Note that if your project involves Spanish freelancers or vendors, their invoices to us will include Spanish VAT (IVA), and that cost is passed on in your final invoice, but we never add VAT on top of our own fee.

If you're a Spanish company, our quotes are given excluding VAT (IVA) as standard. We'll always try to flag this clearly (+VAT/+IVA) in our pricing, in line with standard practice in Spain.

Ownership & Delivery

Who owns the final content, and can I reuse it across different platforms?

You own everything Keibi creates for you, and you're free to use it however you like across any platform or channel; we can also create channel-specific versions if needed. We just ask permission to feature it in our own portfolio and on our social channels. One exception: content from external content creators may come with its own usage terms, for example a 12-month usage window with the option to extend, which we'll always flag before you agree to use it.

What file formats do you deliver in?

Whatever you need. We'll talk through where the content will be shown so the final files are optimised for those platforms.
